TG Simulation Ltd is a flight training organisation approved by the Civil Aviation Authority. This notice covers this website and Backbone, the system our students and staff sign in to.
What this website collects
Nothing you type. There is no form on this website. If you want to reach us you email or ring us, and we hold that email as you would expect.
What it does do is count visitors, using Google Analytics, so we can see which pages people read. That uses cookies, and it does not start until you have said yes in the cookie banner. Some pages also show a Google map, which loads from Google.
What Backbone holds about you
Your name and contact details; your date of birth and nationality where a course or the CAA requires it; your licence, medical and qualification details and the scans you upload as proof; your course bookings and payments; your training records, grades, instructor write-ups and any notice of failure; your attendance; a photograph of your course group, taken on the morning of the first day; and anything you send us through your account.
Why we hold it
To run your course, to meet the record-keeping the CAA requires of an Approved Training Organisation, and to take payment. We do not sell it, and we do not use it for advertising.
How long we keep it
Training records, certificates and the documents behind them are kept for at least five years, because the CAA can ask for them. Payment records are kept as long as HMRC requires. Everything else we keep only while we need it. The course photograph stays on the wall.
Who sees it
The training office, your instructors, and the people who hold a compliance or safety post. The compliance monitoring manager can read records but cannot change them. Our payment provider handles your card details directly; we never see or store your card number.
The course photograph
On the morning of the first day of every course we take a photograph of the group, and it goes on the wall at our headquarters in Lincoln. It stays up. Anybody in the building can see it - other students, instructors, visitors, and the CAA when they audit us.
Being in it is a condition of coming on the course. If you are not willing to be photographed, we cannot take you.
We will not put it on our website or on social media without asking you separately, and that part is a genuine choice - saying no to it changes nothing about your course.
The photograph on the wall is not taken down on request. By coming on the course you agree to it being there, and it stays.
Cookies
The cookies this website sets are listed in the cookie banner, and nothing that is not strictly necessary is set until you say yes. You can change your mind at any time in the cookie settings.
Backbone sets three cookies and they are all strictly necessary, so it does not ask: one to keep you signed in, one to stop a form on another site being submitted as you, and one that remembers a device you have completed two-factor sign-in on, so you are not asked for a code every time. None of them tracks you and none of them is shared with anybody.
How we protect it
Every account has two-factor sign-in, and it is not optional for anybody - staff or student. It means a stolen or guessed password is not enough on its own to reach your licence scans, your photograph, your date of birth or your training records. A device can be remembered for six months so you are not asked every time, and changing your password forgets every remembered device.
It is also a compliance matter, not only a courtesy. As an Approved Training Organisation (approval expected in spring 2027) we have to be able to show the CAA that a training record was signed by the person whose name is on it.
Your rights
You can ask to see everything we hold about you, ask us to correct it, and ask us to delete it. We will do the first two straight away. Deletion we will do wherever the law lets us - but we cannot delete a training record the CAA requires us to keep, and we will tell you plainly which parts those are.
How to ask
The training office handles data protection requests. Email admin@tgsimulation.com, or write to us at TGS, Plot E, Westminster Trading Estate, Lincoln, LN6 3QY.
If you are not happy
You can complain to the Information Commissioner's Office at ico.org.uk.
